Converting a Quote to an Order

Once a Quote has been accepted by all parties involved, you will want to convert it to an Order, which assigns it a PRO number and makes all related shipments available to Dispatch.

The Order is the primary record in Tailwind. For more about the relation between Quotes, Orders, Dispatches and Invoices see the Operations Overview.


Finding the Quote


First you will need to find the Quote you wish to convert. Navigate to the Quote list and open the Quote record. If you have a lot of active quotes, you may need to use the search. (See Searching The List View.)


Converting the Quote

Once the Quote is open, you should see a button at the top of the record labeled ‘Convert to Order’. Click the button to convert the quote.


Edit the Order

You should now see an order record, based on the information that was in the quote – the general information, shipment information, and revenue items will all be carried over. You should look over the information to ensure it is complete. If there is anything missing, use the ‘Edit’ button to enter edit mode and make the necessary changes.


Adding Expenses – Orders vs. Dispatches

At this point it is also possible to add some expenses to the Order itself. Generally, you will want to add most expenses – such as driver or carrier pay, toll fees, etc. – to a specific Dispatch, rather than the Order. After all, most of the cost of transport happens in the actual transportation.

However, some expenses, such as sales commissions and some accessorial charges (like Lumper fees), are best tracked at the Order level. These will often be added automatically, if you have set up your system to use Automatic Payables. If not, you will want to add them manually.

Once you have added any necessary expenses, the Order is complete and ready to go.
